Frequently asked questions
What you want to know before you start.
How is security handled?
Logging in always takes a password and a code from an authenticator app (MFA). All traffic is encrypted (HTTPS), passwords are only stored hashed, and every company’s data is strictly separated. Every change is recorded in an audit log: who, what and when. The database is backed up every night.
Where is our data, and who can access it?
On servers in Germany, with a European hosting provider; the data does not leave the EU. Only the users you invite have access, with the role you choose (admin, editor or reader). We only look in when you ask us for help. What we process and how is set out in the data processing agreement.
How does payment work?
The first 30 days are free, without payment details. After that it is a yearly subscription: one invoice per year in advance, payable within 30 days by bank transfer. If your purchasing department needs a PO number, we put it on the invoice. A multi-year agreement with a fixed price is also possible.
Can we sign an agreement and a data processing agreement?
Yes. You can sign our agreement and data processing agreement, or use those of your own organisation.
Can we adapt it to our organisation?
Yes. Job roles, steps, additional roles and qualifications are entirely yours. You also set the categories, the description of each level and the word for department (location, team, site). Prefer help? We set it up based on your spreadsheet, for a one-off fee.
We have several companies or sites. How does pricing work?
With several companies under one organisation you see everything together and per company: one overview of who can be deployed where. You do not automatically pay the full price per company; we make a custom agreement that fits your structure.
Who counts towards the price?
Only active employees. People who leave no longer count, but remain findable for five years. Read-only users are unlimited.
What if we stop?
The subscription runs per year. You can download everything as Excel at any time: employees, registrations with history, qualifications and the audit log. After cancelling you have 30 days to change your mind; then we delete everything, including from backups.
How quickly can we go live?
On your own, with the wizard or your own spreadsheet, you are done in an afternoon. If we set it up, your workspace is ready to test within a few working days.
